Project Overview

Projects that encompass the entire university system require constant monitoring until their completion. The involvement of various sections, divisions, units and colleges and campuses make it extremely difficult for administrators to keep an eye on the status of the project. For this reason, the On-line Project Monitoring Board was established. This link in the CSU website provides a common source of information regarding the status of the project. Since details such as time-lines and the status of expected outputs are provided, anybody could easily know which section, division or even a specific person is causing delay. Concerned administrators could then undertake coorective measures to remove choke points and gaps.

Objectives

The CSU Monitoring Board is expected:

  1. To provide common monitoring tool for all university-wide projects as shall provide data on point persons or groups involved in the completion of the project.
  2. To provide top management with a quick overview of the status of every project being undertaken in the university
  3. To enable top management to pinpoint project choke-points or gaps and serve as springboard for resolution of this problems
  4. To ensure that all university-wide projects are carried out to their completion on the agreed date and time.
  5. To provide peer-pressure on under-performing employees or groups by way of public censure.
  6. To serve as an additional gauge in the performance appraisal of sections, divisions and colleges by top management

Procedure/Process Flow

  1. The project team leader provides within 1 working day after the President has approved of the project, the Project Data to the webmaster for uploading in the CSU Website. The Project Data shall contain the following:

  3. The Webmaster uploads data within 2 hours. No modification on the data shall be entertained unless the project team leader requests it in writing.
  4. Updates on the status of the project shall only be uploaded by the webmaster on Mondays, Wednesdays and Fridays.
  5. A project once completed as certified by the university president shall be removed from the Monitoring Boars and shall be archived in the University MIS for future reference.
